    Executive Administrator

    Job Description

    The Executive Administrator will be responsible for the management and coordination of activities (planning and implementation) and ensuring timely flow of information to and from the executive office. S/he handles details of a highly confidential and critical nature, and must function efficiently and effectively in a fast-paced professional environment. The weekly schedule is Monday through Friday, but s/he will also need to be available 24x7 on short notice for urgent requests, meetings, travel, etc. The position manages the Senior Pastor Office and serves the Senior Pastor both professionally and personally to create margin and excellence.

    Essential Roles & Responsibilities
    • Manage the Senior Pastor Office and executive administrative staff to achieve efficiency and effectiveness. Delegate assignments as needed to appropriate staff and also be on point for projects. Follow-up for successful execution.
    • Serve as primary point of internal communication between Senior Pastor and the executive team, elders, and his family both professionally and confidentially; attend XLT, and Board meetings as directed and record minutes/action items and ensure follow-thru. Discern/convey communication that benefits Senior Pastor and HBC.
    • Manage external contacts and communications for Senior Pastor; proactively understand priority contacts, track and manage proactive updates for priority contacts, and manage all inflow and outflow of communications and responses; attend meetings as directed and record minutes/action items and ensure follow-thru.
    • Discern/convey communication that benefits Senior Pastor and Oversee and manage all speaking requests; manage the intake process from beginning to completion.
    • Oversee and manage all correspondence/communications with a high degree of executive professionalism and integrity including phone calls, texts, mail, and email; screen and resolve so that Senior Pastor only touches and handles high priority items.
    • Anticipate Senior Pastor needs and proactively resource the appropriate people for support and problem resolution.
    • When the Senior Pastor’s chairs meetings: Prepare agenda in advance; assist with and provide research/background information, content development, and creation of presentations and coordinate meetings.
    • Manage the calendar and daily schedule of Senior Pastor, ensuring that Senior Pastor knows schedule 24 hours in advance and keeping appointments and meetings on time or changing schedules when necessary.
    • Develop and maintain a system that alerts to upcoming deadlines on incoming requests or events.
    • Plan and organize travel/logistics for the Senior Pastor and the Executive Office consistent with Senior Pastor personal preferences and proactively coordinate the pre-planning of trips with Senior Pastor, family, and XLT; provide travel agendas, contacts, and all info/docs; manage travel/logistics and appropriate expense reports.
    • Maintain an effective process for the Senior Pastor preaching schedule that provides flexibility and time with the family for fun.
    • Organize, archive, and manage the process and database (Widen and other DB software/tools) for internal documents, reports, data, minutes, sermon notes/illustrations/content, and all Senior Pastor information.
    • Handle information with the highest degree of confidentiality, professionalism, and integrity. Handle special projects as directed.
    • Anticipate the needs of the Senior Pastor and act accordingly.
    • Act as the Senior Pastor’s representative and ambassador to internal and external constituents as directed. Coordinate the schedule and personal security for the Senior Pastor on weekends and ministry events.
    • Coordinate hospitality events for Senior Pastor and XLT as needed.
    • Be an encourager for Senior Pastor and his family.
    • This position is required to be on call 24x7 via phone, text, email; vacations and time off should be scheduled around the down time of the Senior Pastor.

    Student/Children’s Ministry Administrative Assistant

    Job Description

    The Student/Children’s Ministry Administrative Assistant is a vital member of the student ministry and children’s ministry team and works closely with the Student Ministry Pastor and Children’s Ministry Coordinator in Niles. The primary role of the assistant is to support the pastors and coordinate daily, weekly, and monthly tasks that are critical to the growth, development, care and maintenance of student ministries.     Job Description

    Reporting to the Accounts Payable Supervisor, the Accounts Payable Clerk is a detail oriented team player who maintains good working relationships with many different departments.  This position is responsible for the proper classification, entry and payment of invoices and reimbursement requests, including accounts payable review and posting; running reports, printing checks, filing and credit card related maintenance for all entities.

    Campus Technical Director

    Niles and Cathedral | Part-time

    Job Description

    This position consists of worship 15-16 hours per week/weekend. Separate from the listed hours, during the week 6 hours are flexible as needed for work at a campus and scheduling volunteers.

    • Scheduling all aspects of the production team to efficiently produce and operate the service.
    • Maintain volunteer base for service operations.
    • Grow the volunteer base for service operations so the rotation more frequent.
