How do I register for camp?

Once you've set up an account, you can return to register additional campers, make payments, or make modifications. Registration is managed by a third party Web hosting company, therefore, your login and password for camp registration will not be the same as your Harvest event login.
What if I don't know whether or not I have an online account?
If you registered a student for summer camp or winter retreats in the last four years, an account was created. Your e-mail address is used as the user name. If you're not sure whether or not you have an online account, try entering your most commonly used e-mail address and password combination. You will be told whether or not the e-mail address you entered is recognized and has an online account and will be given further instructions if necessary.
What if I have changed my e-mail address since creating my account?
If your e-mail address has changed, login using the former e-mail address as the user name. You can update your user name to your new e-mail address by choosing the option at the bottom of the login page that reads: "Are you trying to access your Online Account?" This is the account maintenance page where you can change a user name, password, and make payments.
What if I have forgotten my password?
Follow the prompts on the login screen for a forgotten password.
How do I register another child after I have registered one family member?
To register another child, click here to return to Summer Camp Registration. At the login screen, enter the account name (an e-mail address) and a password you create in the Returning User section of the login screen. Please note: this account login is not the same as your Harvest event login.
How do I make on-line payments, add money to canteen or purchase camp merchandise?

What if I’ve been added to a wait list?

What is the cost of camp at Camp Harvest?
The registration fee is $369 for Harvest campuses.
The late registration fee for registrations processed within one week of camp is $50.
Are there discounts for multiple children within a family?
There is a $30 discount for families with multiple children registering for camp.
What is the cancellation/transfer policy?
Cancellations: The $100 deposit is non-refundable for any and all cancellations due to the costs associated with advanced preparation for camp. No refund will be made for dismissal due to disciplinary action, late arrival or early release..
Transfers: There will be a $25 processing fee to transfer a registration to a different session within two weeks of either camp.

How do I apply for financial assistance?
Payment Plan:
A payment plan can be arranged by clicking here to submit a Request For Financial Assistance. A payment plan allows you to spread out the camp fees over a few months. The first payment is due up registering to confirm registration and your method of payment will be automatically billed per the terms of the payment agreement. After requesting a payment plan you will be contacted with specific instructions to register using a scheduled payment plan. Payment plans are only available to regular attendees of Harvest Bible Chapel.
Benevolence Scholarship:
If your family is experiencing serious financial difficulties, you can apply for a scholarship. Scholarships take a minimum of two weeks to process. Requests cannot be considered within two weeks of the camp date. To apply for a scholarship click here to submit a Request For Financial Assistance. You will be sent a benevolence application and be contacted by a benevolence counselor for an interview. If a scholarship is approved you will be provided with a registration code to use to register your child on-line. Your child is not confirmed until you have registered them through the online registration system. Scholarships are only available to regular attendees of Harvest Bible Chapel.

BUS TRANSPORTATION AND PACKING LIST
What is the location and time to meet the bus?

Check-in Time - Check in for all camp weeks is at 8:30 A.M.. Please arrive at check-in at 8:30 A.M.

Return Time - Return time for all camp weeks will be 7:30 P.M.

Bus Locations: Elgin campers will depart from the Elgin campus. Rolling Meadows and the other extension campuses will depart from the Rolling Meadows campus. Buses will return to the location from which they departed. For the 4th and 5th grade camp, buses will depart from both Elgin and Rolling Meadows. Please note: Church plants are responsible for their own transportation. Students from church plants should contact their ministry leader about their transportation needs and fees for transportation.

What should I pack for camp?
Bedroll: sleeping bag, pillow, sheets
We discourage campers from packing these items in a plastic garbage bag. Instead, we prefer that they purchase a nylon drawstring laundry bag. We offer a Bedroll bag that you can purchase when you register.
Bedroll bags ordered on-line will be mailed to you ahead of camp.
Suitcase/duffel bag should contain:
Bible, pen, toiletries, towel (one or two for beach and bath), one-piece modest swimsuit, clothing for six days, 2 pairs of shoes, sweatshirt or jacket, rain gear (poncho), sunscreen, insect repellent, flashlight, and a plastic bag for wet/dirty clothing. Optional: camera, rainy day cabin games/activities.
Backpack: Sack lunch–
very important–the campers will be eating lunch on the bus. Other bus activities.
NOT ALLOWED AT CAMP: any electronics, cells phones, iPods, food (besides lunch for the bus). No food is allowed in the cabins. Please leave all electronics including cell phones at home.
It is recommended that you write your camper’s name on his or her belongings. Camp Harvest and Harvest Bible Chapel are not responsible for lost or stolen items.

What forms are needed for camp?
There are four forms required for Student Camps which must be filled out EVERY year. Camp Harvest does NOT have access to forms from previous years. Click here to download

1. Conditions of Enrollment - requires a parent signature and is required for every camper.
2. Health History Form - requires a parent signature and is required for every camper.
3. Photocopy of Insurance Card - Please provide a photocopy of both sides of your medical insurance card. This is required for every camper. We do not have access to last year’s records nor the ability to make these copies at check-in.
4. Medication Release Form
- If you have checked that your camper has NO medication on the Health History Form, then you do NOT need to submit this form.
- If your camper will bring ANY medication to camp, you will need this form which details the medication and instructions.
When are forms due?
Camp forms are considered late within two weeks of camp departure. Your student's seat on the bus is not confirmed until all forms have been received. Our staff needs this time to properly process the forms. Our nurses will review the forms before camp to address any necessary issues. Your cooperation in getting the forms to us at least two weeks prior to camp is greatly appreciated.

DO NOT submit your forms to your ministry staff or to the office at any church campus other than the Rolling Meadows office. Camp administration is staffed in Rolling Meadows and forms dropped at other locations are not guaranteed to get to the camp office.
How can I check to see if you received my forms?
We ask your cooperation in not calling to ask if forms have been received. In order to keep camp administrative costs down we have instituted the following procedure.
Three weeks out Three weeks before your child’s camp week you will receive an e-mail with final details. This e-mail will indicate whether or not we have the forms and whether a final payment is due.
Two weeks out Two weeks before your child’s camp week you will receive another e-mail ONLY IF there is a balance due OR the forms have not been received. If you do not get this subsequent e-mail, we do have your forms and payment.
One week out On the Monday before your child’s camp week, you will receive another e-mail ONLY IF there is a balance due or the forms have not been received. If you do not get this subsequent e-mail, we do have your forms and payment. If your forms or balances are still outstanding, your student will be placed on a wait list for this camp week.
What if I want to speak to someone about special medical issues for my camper?
If you have specific medical issues that you would like to discuss, please send an e-mail to campharvest@harvestbible.org. We will put you in touch with a staff person or the camp nurse.
Can my child attend Camp Harvest if they have food allergies or special dietary restrictions?
Yes, we will work with families who send their child to camp for a week. Please e-mail
if your child has special dietary needs. Our kitchen staff will have some typical alternatives, and you are also welcome to send up food with your child.

What is the Canteen?
The Canteen is the camp store and purchases are optional. Campers can purchase soda, snacks, T-shirts for $15, sweatshirts for $30, and water bottles for $10 from the Canteen. An average amount spent by students on snacks is $20-$25/week. The Canteen is handled by account rather than a cash basis. You can put money into your Canteen account through your online registration account. Records will be kept as purchases are made.
How do I put money in my Canteen account?
We encourage you to put money into your Canteen account through the online registration system. This is strongly preferred over processing payments on check-in day. If you have already registered your camper, you can

. The canteen account is closed on the Friday before camp departure, therefore, additional money cannot be added to the canteen after that point or while the child is at camp.
Are Canteen balances refunded?
Canteen balances are not refundable. Balances will be used for future ministry at Camp Harvest. The exception to this is if you placed a larger amount expecting to purchase apparel that wasn’t available. In this case, these amounts will be refunded.
When will I receive merchandise I ordered online?
Merchandise ordered online will be distributed to your child at camp on the first day. Bedroll bags ordered will be shipped to your home prior to camp.

THE CAMP WEEK
How are cabins assigned?
There is a boy's area of cabins and girl's area. Cabins are typically assigned by gender, campus and grade. In the registration process there is a field for cabin mate request. We ask you to limit these requests to one or two friends so that your campers will have the opportunity to meet others during this week of camp. The campus student ministry team will also have input and attempt to group cabins by pre-existing small groups.
What if I missed the cabin-mate request field in the registration process?
If you missed the cabin-mate request field during the registration process please send an e-mail to
indicating your child’s name, camp week, and their request.
Can my child bring a friend that does not attend Harvest?
Yes, we welcome your children to bring friends to Camp Harvest. When your friend registers have them choose the campus you attend and enter your child's name in the cabin-mate request.
How is the camp staffed?
Each camp week is staffed by our camp directors, the staff members from the ministry, a certified nurse, a lakefront director who ensures the safety of campers in water activities, and several full time summer staffers who are all certified lifeguards. In addition to this staff, two camp counselors are assigned to each cabin of campers. These volunteer counselors are church members who have been serving in the ministry with your children all year. What facilities are available at Camp Harvest?
Cabins: Campers will bunk in cabins that sleep from 10-16 people. There will be two adults in each cabin with the campers. There are two separate cabin areas at the camp: one for boys and one for girls.
Bathhouses: Each cabin area has a bathhouse with restrooms and hot showers.
Dining Hall: All meals are served in the dining hall prepared by the Camp Harvest kitchen staff. Wonderful, hearty meals with a variety of choices are served for breakfast, lunch, and dinner. Alternate food is available for campers who cannot eat from the planned menu. For more information regarding special needs meals see Special Food Requirements.

CAMP SAFETY/CAMP NURSE
Will my child be safe at camp?
- Camper safety is the main priority at Camp Harvest. We are regulated by the State of Michigan Residential Camp Board and are inspected on a regular basis.
- Water safety is our greatest concern, and we take every precaution to assure the well-being of the campers around the water. Camp Harvest provides lifeguard/CPR training for all of the full-time summer staff, as well as many of the volunteer counselors who serve a week at camp.
- Every staff member and all campers receive waterfront safety instructions and participate in a waterfront drill every week to prepare them in the event of an actual emergency.
- Extreme weather conditions may present during a week of camp, and all camp staff is trained on what to do in a weather emergency. Campers will be moved to the basement of the lodge if a weather emergency should arise.
What if my child gets injured?
- Although we take all precautions to assure safety, unfortunately, accidents happen. We have systems set in place to handle all levels of medical needs.
- Camp Harvest provides a registered nurse for every week of summer camp along with an aide. All camper medication must be turned in to the camp nurse who will dispense meds, as well as basic medical care. These nurses volunteer and use their vacation time to serve at Camp Harvest and we deeply appreciate them. If you are an RN, nurse practitioner, or a physician and would like to help out for a week at Camp Harvest, please contact us at

- If a camper’s injury requires a doctor’s visit or emergency room care, the hospital is a short drive from the camp property. If the injury requires immediate medical treatment, the Croton Fire Department/EMS service is only minutes from the camp property.

Who is on staff at Camp Harvest?
The Camp Harvest directors are staff pastors at Harvest Bible Chapel. The camp directors, along with a qualified team of full time staff adults, run all the major activities at the camp.
How are staff and volunteers selected and screened?
In addition to the full time camp staff, volunteer cabin leaders serve with the students for the week. A thorough background screen and application process is required for all staff and volunteers at Camp Harvest. Attendance at staff training programs are also required. The cabin leader volunteers are people who have been serving as small group leaders in the student ministry all year.
Can I volunteer at Camp Harvest?
Volunteers have typically been serving in the ministry throughout the school year. If you have been serving or would like to be considered as a volunteer counselor, please contact the ministry leaders for the week you are interested.
How do I reach the camp in an emergency?

Please provide adequate time for delivery. We often receive a camper's mail after they have departed. If mail is received after your student has left receipt cannot be guaranteed. Alternatively, you can drop your mail for the week with the check-in staff. It will be brought up on the bus and delivered throughout the week (save time and postage and ensure receipt).
